Building a Better Start for Every Customer
How BLOOM built standardized, automated onboarding for Rainfall Health with HubSpot Work
Rainfall Health
- HubSpot Work
Two weeks after HubSpot Work launched in beta at UNBOUND, we had already put it to work with Rainfall Health.
Rainfall Health helps healthcare facilities navigate long, complex compliance processes. That makes onboarding an important part of its service: facilities need a clear starting point and guidance through the work ahead.
The team already had a clearly defined process. At BLOOM, our opportunity was to bring it into an environment where it could guide delivery, with a standardized onboarding structure created automatically.
We had a real business need and a new platform to explore. We didn’t have every answer at the outset. We found them by building, questioning, and refining the setup around the work Rainfall Health needed to do.
A clear process. A place to put it into action.
Rainfall Health came to the project with a substantial, well-organized spreadsheet outlining its onboarding process. The team knew what needed to happen and what it wanted the experience to look like.
That preparation helped enormously. We had a clear foundation to build from, grounded in the client’s understanding of its customers and the work involved.
My initial focus was the onboarding template. As we explored the requirements, that focus expanded: how could we translate the spreadsheet into a working process that connected internal onboarding with the sales-to-customer-success handoff?
The details were already there. Our job was to make them usable within HubSpot Work and give the team a shared framework to follow.
Working with agents to make the process repeatable
Working with agents in HubSpot Work helped us turn that foundation into a repeatable onboarding process.
We explored ideas, refined the structure, and reviewed how the pieces fit together. Having clear requirements gave that work direction: we could assess what we built against the process Rainfall Health had already mapped out.
The value went beyond generating a template. It came from translating the client’s knowledge into a standardized structure that could be created automatically for each new onboarding.
Getting there meant bringing context, asking better questions, and reviewing the output. As the project developed, my thinking shifted from “What does this do?” to “What else could we make possible?”
We were figuring out the platform’s potential while staying focused on a practical goal: supporting the team’s actual work.
Putting it to work with Rainfall Health
We’ve now launched the process with Rainfall Health.
The onboarding structure brings internal onboarding and the sales-to-customer-success handoff into the same project in HubSpot Work. Standardized processes are created automatically, giving the team a consistent starting point for delivery.
For me, that was the turning point. What we had been exploring became a working part of the customer journey.
It’s early. HubSpot Work is still in beta, and this launch is the beginning of the story. What we can point to today is a working process built around a real client’s needs and informed by the expertise they brought to the project.
Still discovering. Already delivering.
We started with a well-organized spreadsheet and an onboarding challenge. We ended up connecting more of the customer journey - and seeing opportunities to apply the same thinking elsewhere.
For teams already using HubSpot, bringing this work into the same environment opens up a practical question: what could become simpler if customer information, handoffs, and next steps came together?
We’re still exploring those possibilities. With Rainfall Health, we’ve already put one into practice.
If your team has a clear process in a spreadsheet but needs help putting it into action, let’s talk about how BLOOM could help you get started with HubSpot Work.
